What to include on a PO
| Field | Why it matters |
|---|---|
| Quote number | Locks in quoted pricing and availability |
| Manufacturer part number (MPN) | Avoids region or configuration mix-ups |
| Quantity and condition grade | Matched to stock during picking |
| Bill-to and ship-to addresses | Required for tax calculation and freight booking |
| Delivery requirements | Dock, liftgate, appointment or residential delivery |
| Marketplace prep needs | FNSKU labels, polybagging, carton limits |
Stock allocation
Stock is reserved once payment is received or, for approved terms accounts, once the PO is accepted. Quoted availability is not a reservation.
Changes and cancellations
Orders can be changed or cancelled free of charge until they are picked. After picking, a restocking fee may apply. Special-order and custom-configured items cannot be cancelled once ordered from the supplier.
Backorders and partial shipments
If part of an order is delayed, we ship available items unless you ask us to hold the full order. Backordered lines keep their quoted price until they ship.
Order status
You receive email updates when the order is confirmed, shipped and delivered. For status at any time, reply to your order confirmation.
Example purchase order
A clear PO is the fastest way to get an order picked correctly. This is the format we work from best:
| Line | MPN | Description | Grade | Qty | Unit price |
|---|---|---|---|---|---|
| 1 | (HP part no.) | HP LaserJet Pro mono laser | New | 20 | As quoted |
| 2 | HLL2350DW | Brother HL-L2350DW mono laser | New | 48 | As quoted |
| 3 | TN760 | Brother TN760 high-yield toner | New | 96 | As quoted |
Reference the quote number in the PO header. Prices on the PO should match the quote; if they don't, we will confirm before processing.
Mixed and multi-brand orders
You can combine brands, categories and condition grades in one order. We consolidate everything into one shipment where possible, so you pay one freight charge and receive one invoice and one serial list. Very large mixed orders may ship in waves as stock arrives; each wave is invoiced and tracked separately.
Special orders and allocations
Items not in stock can usually be ordered from our distribution partners. Special orders require a deposit or full prepayment and cannot be cancelled once placed with the supplier. For high-demand products, such as new camera bodies or drones at launch, manufacturers allocate stock; we confirm allocated quantities in writing before taking payment.
Blanket and scheduled orders
Buyers with predictable demand, such as schools before term or retailers before the holidays, can place a blanket order with scheduled release dates. We hold pricing for the agreed period, reserve stock where possible and ship each release on the date you choose.
Drop-shipping
We can ship directly to your customer in plain packaging, with your packing slip if you send it as a PDF. Our invoice and pricing are never included in a drop-shipped parcel. Drop-ship orders are quoted with parcel freight to the end address.
Common ordering mistakes
- Ordering by product name only, which can match several regional SKUs.
- Leaving out the delivery requirements: liftgate, appointment or residential delivery all change the freight price.
- Forgetting marketplace labelling, which then has to be redone at the fulfilment centre at a higher cost.
- Assuming a quote reserves stock. Stock is reserved only when the order is paid or accepted on terms.
