Where buyers find suppliers

  • Manufacturer websites, which often list authorized distributors and resellers by country
  • Trade shows and industry associations
  • Referrals from other retailers and IT providers
  • Search engines, with careful vetting of what you find

Vetting checklist

CheckWhat good looks like
Business identityRegistered company with a real address, phone and tax numbers on invoices
AuthorizationCan explain which brands they buy directly or through distributors
PaperworkCommercial invoices, packing lists and serial number lists as standard
GradingWritten definitions for new, open box and refurbished
PoliciesPublished warranty, returns and shipping terms
PaymentBank wire to a business account in the company's name; card payments accepted
CommunicationNamed contact, quick written quotes, clear answers

Red flags

  • Prices far below every other source for current models
  • Payment only by cryptocurrency, gift cards or to a personal account
  • Emails announcing "new bank details" for a pending payment
  • No physical address, or an address that is a mail drop
  • Refusal to provide serial numbers or invoices with full company details
  • Pressure to pay immediately to "secure" stock

Run a test order

Start with a small, representative order. Check delivery time, packaging, paperwork and serial numbers. Register a few units with the manufacturer. If everything matches, scale up.

Questions to ask a new supplier

  1. Which brands are you authorized for, and through which channel?
  2. Do you hold stock or order on demand?
  3. How are condition grades defined?
  4. What is your DOA and returns process?
  5. Do you provide serial number lists with every order?
  6. Which carriers do you use and who covers transit damage?
