Define requirements
| User group | Typical spec |
|---|---|
| Students (web and apps) | Chromebook or entry Windows laptop, 8 GB RAM |
| Office staff | Business laptop, 16 GB RAM, 512 GB SSD, 14-inch |
| Developers and analysts | 32 GB RAM, high-performance processor |
| Design and engineering | Mobile workstation with dedicated graphics |
Standardize configurations
Limit the fleet to two or three configurations. Buy each by exact part number so every unit is identical. This simplifies imaging, spare parts and support.
New or refurbished?
Refurbished business laptops (Refurb A or B) can cut cost per seat significantly, making them popular for schools and non-profits. Check battery health and remaining warranty. See New vs open box vs refurbished.
Deployment
- Decide on imaging or zero-touch enrollment (Windows Autopilot, Google Admin, Apple Business Manager).
- Plan asset tags and a register of serial numbers.
- Order docks, monitors, mice, bags and chargers in the same shipment.
- Schedule delivery in waves if storage space is limited.
Budgeting
Budget for devices, accessories, extended warranty, deployment labour and a spare pool of about 3–5% of the fleet for failures and new staff.
