Start with real print volume
Measure or estimate monthly pages per device. Choose printers whose recommended monthly volume covers that comfortably; the maximum duty cycle is a stress rating, not a target.
Cost per page
Cost per page = supply price ÷ rated yield. For a busy office, supplies cost more than the printer over its life. Example (illustrative): a toner costing $120 with a 6,000-page yield gives 2 cents per page; at 3,000 pages a month that is $60 a month per device.
Standardize models
- Fewer models means fewer supply SKUs to stock.
- Staff learn one interface.
- Spare units can swap in anywhere.
- Firmware and security settings are easier to manage.
Choosing by environment
| Environment | Typical choice |
|---|---|
| Small office, mostly text | Mono laser multifunction |
| Marketing or education with colour | Colour laser or business ink tank |
| Shipping and warehouse | Thermal label printers |
| High-volume departments | A4 or A3 multifunction with large paper capacity |
Planning supplies
Keep one spare toner per device on site, plus drums or maintenance kits on schedule. Order supplies with hardware to share freight. Buy genuine supplies only; they protect warranty and print quality.
Security
Change default passwords, update firmware, disable unused protocols and enable secure printing where available. Business printers from HP, Brother, Canon, Xerox, Lexmark and Kyocera include fleet-management tools.
